Cutting invoice-to-payment from 45 days to 12 for a corporate law firm

The challenge

A 14-lawyer corporate law firm managing 400+ active contracts was storing everything across SharePoint folders, email attachments, and physical binders. Renewal deadlines were tracked in a shared calendar with no automated alerts — the firm missed critical renewal windows 3 to 4 times a year, resulting in client disputes. The billing team manually assembled invoices in Excel, emailed them as PDFs, and chased payments through WhatsApp messages. Month-end reconciliation to find outstanding dues required a full day of work. Senior partners had no way to see total receivables or which clients were habitually late without asking the accounts team.

What we built

We built an AI-powered contract lifecycle management platform that extracts key clauses, renewal dates, and obligations from uploaded contracts using GPT-4o. Renewal alerts fire automatically 60, 30, and 7 days before expiry. Contracts move through a configurable approval workflow before signing. On the billing side, we built auto-generated invoices triggered by case milestones, a client payment portal with UPI and bank transfer support, and automated WhatsApp and email reminders that escalate based on days overdue. The accounts dashboard shows total billed, collected, and outstanding by client — updated the moment a payment lands.
